About External Resources

 

External resources are users who do not have PPM login privileges. Only administrators can create (add) external users, and they must be added from the Administrative Zone.

External Resources and Workspaces

In most cases, when external resources are added to a workspace, they are treated like other workspace members. They can be assigned items such as tasks and issues, and are included in capacity and resource allocation calculations in the Capacity Planner and Resource Allocation applications.

However, because external resources cannot log in, they cannot update tasks, issues, or timesheets. Another team member, usually the project manager, must make any updates on behalf of the external resource. When you update a task on behalf of an external resource, the update history indicates who did the update, so you can keep track of updates done on behalf of an external resource.
