Allocating Resources in Team Manager

 

Use Team Manager to respond to resource requests from project managers by allocating resources to their workspaces. Note: For information on declining a resource request, see Declining Resource Requests in Team Manager.

The Team Manager Resource Allocations view lists pending resource requests and those resources for which you are responsible as resource manager. (Resource managers are assigned to enterprise users by the administrator.)

Important: When you allocate a resource to a request and approve the request, that resource is added to the workspace (if they are not already a member) and given a workspace role. This workspace role is based on their enterprise role and on what the defined default workspace role is for that enterprise role and that workspace type. By default, enterprise roles do not have default workspace roles for each workspace type. This means that a resource added to a workspace from Team Manager may have no workspace role and will not be able to access the workspace until given a workspace role by the project manager.

To allocate resources in Team Manager:

  1. Open the Team Manager application.
    Any pending resource requests submitted to you are listed in the upper part of the application. Resources can be requested by resource type or by specific resource. You can tell how a resource request was made by how it appears in Team Manager:

    If the resource request was made for a resource type, the request displays with the resource type name and a line item for which you need to select a resource.
  3. Resource request by resource
    If the resource request was for a specific resource, the request displays with the resource name and a line item listing the name of the specific resource being requested.
  4. If the request was for a resource type, click Please Select and select a resource to allocate to the request.

    Note: You can select a resource, even if the request was for a specific resource (you do not have to accept the pre-selected resource on a request-by-type).
  5. To allocate a number of hours (or FTE) other than those requested, type the hours/FTE the resource will be working on the workspace. As you enter values and move to the next cell, the requested amounts for the resource type automatically update, showing the remaining requested.

    For example, if a project manager has requested 120 hours of a researcher resource type, and you allocate a resource for 40 hours, the requested hours update to show the remaining hours of the request (80).
  6. To allocate another resource to the same request, repeat from Step 2.
    Each new resource you allocate is added as the first line in the list of resources.
  7. To remove a resource you allocated, click the Delete icon next to the resource name and click Remove Resource.

    The resource is removed from the resource request and any hours/FTE that had been entered for the resource are added back to the requested amount. Note: Remove a resource this way before you have approved the request. If you have already approved the resource, see Declining a Resource Allocation.
