Generating a Workspace from a Request
|
With adequate permissions (by default users with an enterprise
role of Administrator, Executive, Resource Manager or Project Manager
have permission to do this), you can use the Requests application
to generate a workspace from a request that has been approved (its
Approval Status is Approved).
To generate a workspace from a Request:
- .
A list of the requests you have permission to view displays.
- Click the Actions icon
next to the request from which you want to generate
a workspace, and click Generate Workspace. The Generate Workspace window
opens.
Note: You can also open the Generate
Workspace window by clicking the request name to open the
Item Details window, then selecting
Generate Workspace from the Actions
tab
- Select
Workspace Template—Select the template you want to use for
the workspace. Only valid templates display. A valid template is one created from a workspace of the same workspace type as that the request was created from. If you do not see any templates listed, you either have no templates in your enterprise, or no valid templates.
Important:
- Applications - The template you use, and the workspace type of the workspace from which that template was created, determine which applications are included in the workspace you are generating.
- Resource Requirements - If the template includes resource requirements, any resource requirements in the request will be discarded and those from the template will be used.
- Select Workspace Location—Select the location of
the new workspace in the workspace hierarchy. To do this. select the workspace that will be the parent of the workspace you are generating. To create the workspace at the top level, select your PPM enterprise.
- Start Schedule On—Type the date on which the first task in the schedule should start. If resource requirements are included, they begin on the first working day of the week in which the Start Schedule On date occurs. If no tasks or resource requirements are included, this date is ignored.
- Select Workspace Members—Click Browse
User Directory and select users who will be members of the workspace.
For more information on using the directory, see Using
the User Selector.
Important: You are added as a workspace member in this step. The role you are given depends on several factors:
- If you do not explicitly add yourself as a workspace member, you are automatically given the role of workspace manager, or the default role defined for the creator at the workspace type level.
- If you explicitly add yourself as a workspace member, you are given the role you specify.
- To send notifications about
the new workspace to the users you selected, select Notify
next to each user who should be notified.
- If you want to create a
custom notification message, select Type
Custom Notification Message and type the message in the Notification
Message box.
- Click Save
to generate the workspace and close the window, or Cancel
to cancel the generation of the workspace.
A message displays confirming that the workspace has been generated.
After you generate a workspace from a request the workspace
is still listed in the Requests application but the State changes from Request
to Not Started. The workspace is
now also listed in the Projects tab.
