Generating a Workspace Template

 

Project managers and other users with appropriate permissions (Create Templates or Manage Templates) can generate (create) a workspace template from an existing workspace. When you create a template, the project manager is set to blank.

A workspace template can include applications, resource requirements and team members. Your options for what you include depend on what is in the current workspace, and how the base project type for the workspace is configured. For example, if an application is included in the workspace and is locked in the project type so that it must be included, you do not have an option to exclude the application in your template. (You still can exclude any existing items from that application.)

Items you may be able to include in a template:

TO CREATE A workspace TEMPLATE:

  1. In the workspace from which you want to generate the template, click the Gear Menu and Generate Template.
    The Create Template wizard opens in a new window.
  2. Type a template Title.
  3. Type a Description of the template.
  4. Directory - You must include the Directory application in the template. This allows you to view and manage team members in any workspace created from the template. Note: Including the Directory does not mean you must also include team members from the current project.

    To include team members from the current workspace in the template:
  5. Select Individuals to include individual team members.
  6. Select Workgroups to include workspace workgroups in the template.
  7. To include resource requirements in the template, select Resource Requirements.
    When included, the template includes all resource requirements defined for the current workspace.
  8. To include specific applications in the template:
  9. Select the application(s).
  10. Select Folders (or the application equivalent, such as Categories for the Discussions application) to include any existing folders.
  11. Select Items to include any existing application items.
  12. Click Save & Close to create the template.
    The saved template is listed in the Templates application and can be used to create new workspaces. For details, see Creating a Workspace from a Template.
