About the Workspace Fields List

The Workspace Fields List displays native and custom fields that can be configured in your workspace types.

Fields are grouped as Profile fields and Status fields. Native fields are listed in alphabetical order, followed by custom fields. The field category (Native or Custom) is listed, along with an indicator of whether or not the field is required. The Workspace Type column lists the workspace types in which a field is visible (native fields) or included (custom fields). Note: Any custom workspace fields created in your enterprise are unique to your environment and are not included here.

An Actions icon gives you options for actions you can perform on a field. Possible actions depend on the field category (native or custom):

Profile Fields (native):
These fields are available in the Executive Scorecard custom views, Executive Workspace Details window, Workspace Home Profile pane, and Administrative Zone Workspace Profile page. Many can also be included in custom views.

Approval Status

The approval status of a workspace. Automatically updated during the request approval process. For more information, see Workspace State and Approval Status Overview.

Budget

manually entered when request or workspace is created or edited

Cap Auth ID

cross reference field used for department-level accounting of an employee's time in an external system. Displays as blank unless set by an external system or by a PPM project manager or administrator.

Capacity

automatically set to Planned or Unplanned when a workspace is marked as planned or unplanned in the Capacity Planner application.
Note: Shows as Yes (planned) or No (unplanned) in custom views.

Description

External ID

blank unless set by external system or PPM project manager or administrator cross reference field used to associate a workspace in PPM with a workspace in an external system. Displays as blank unless set by the external system or a project manager or administrator in PPM. See About Workspace External ID for details.

Manager

manually entered when workspace is created

Name

manually entered when workspace or request is created or edited, except if using auto-workspace naming.

Number

automatically generated by system when workspace or request is created, read-only

Parent

automatically generated when workspace or request is created.

Planned Finish

manually entered when workspace or request is created or edited

Planned Start

manually entered when workspace or request is created or edited

Priority

manually entered when workspace or request is created or edited

 

Status Fields (native):
Available in Status History views and custom views. Non-derived fields can be edited in Update Status forms. Derived fields are read-only. Some can be selected in Executive Scorecard custom views.

Note: Field names beginning with Schedule or Scheduled indicate fields derived from information in the Task schedule.

Estimated Expenses

Manually entered during a workspace status update.
Used to automatically calculate Total Estimated Cost.

Estimated Labor Cost

Derived
Total estimated internal labor cost of workspace (based on resource requirement estimates)

Estimated Labor Revenue

Derived
Total estimated billable labor revenue of workspace (based on resource requirement estimates)

Estimated Work

Derived
Total of all resource type requirement hours

Health

manually selected when workspace is created or during status update

Note: if Auto Health is enabled or workspace is a parent, user cannot set Health manually

Phase

manually selected during status update (if phase tracking enabled)

Schedule % Complete

Derived

Calculated from tasks in the schedule using the formula for calculating summary task % complete. For details, see Percent Complete Calculations.

Schedule Finish

Derived
Planned Finish of last scheduled task

If there are no tasks in the schedule, this field is blank. If the schedule has tasks, Scheduled Finish is the end date of the last task.

 

Note: If all tasks are removed, Scheduled Finish will revert to blank. A status update will be required, however, for this change to be reflected in reports.

Schedule Start

Derived
Planned Start of first scheduled task

If there are no tasks in the schedule, this field is blank. If the schedule has tasks, Scheduled Start is the end date of the last task.

 

Note: If all tasks are removed, Scheduled Start will revert to blank. A status update will be required, however, for this change to be reflected in reports.

Scheduled Duration

Derived
The number of working days between Schedule Start and Schedule Finish

State

automatically generated initially, then manually updated during status update. See Workspace State and Approval Status Overview for more information.

Total Actual Labor Cost

Derived
Total actual internal cost of a workspace (based on total actual work and internal billing rates of task assignees)

Total Actual Work

Derived
Total logged work for all task assignees, or, if workspace is configured for workspace-level time tracking, total logged work at the workspace level.

 

Note: If you are using Timesheets, work must be submitted and approved (if using approval policies) before it shows up as actual work.

Total Estimated Cost

Derived
Estimated Labor Cost + Estimated Expenses

Total Planned Labor Cost

Derived
Total planned internal labor cost of workspace (based on total task planned work and internal billing rates of task assignees)

Total Planned Labor Revenue Derived
Total estimated billable revenue of a task, based on task planned work and external billing rate(s) of task assignee(s).

Total Scheduled Work

Derived
sum of planned work for all tasks in schedule

Update Notes

manually added during a status update. In some cases may be automatically generated by system during status update.
