Synchronization Overview
There are three primary steps to performing a synchronization between Microsoft® Project and Daptiv PPM:
- Prepare for Synchronization
- Synchronize Resources and Team Members
- Synchronize Tasks
Each of these steps is discussed in further detail below. Every step required for successful synchronization is listed in the left column of the synchronization wizard. These steps show your progress by marking the current step with an arrow, showing successfully completed steps in bold green text, and showing steps which need to be completed in normal text.
To start a synchronization, click Synchronize from the ProjectTransit menu item in Microsoft Project.
Prepare for Synchronization
The following steps should be taken to prepare for synchronization.
- Confirm that your Microsoft Project file is saved and not read-only - in order for the synchronization process to work properly, your Microsoft Project file must be saved. Additionally, it cannot be read-only. If you have created a new file but have not yet saved it, you should do this before you continue. In order to synchronize after changes are made to the Microsoft Project file, save the file before starting synchronization. Failure to do so may cause errors during your synchronization.(read more)
- Confirm that the Daptiv PPM schedule is not checked out - ProjectTransit will not detect any Projects/schedules that are checked out by yourself or another project manager. You can check this by going to the Task Application in the workspace within Daptiv PPM. The schedule status is displayed at the top of the task list if the schedule is checked out.(read more)
- Set Connection Settings to Daptiv PPM - When you have taken the above steps, you can open the ProjectTransit synchronization wizard by clicking Synchronize from the ProjectTransit menu on the Microsoft Project toolbar. After reviewing some overview topics (most of which are covered in this Help system), you need to provide the connection settings to Daptiv PPM. This includes providing the URL for your Daptiv PPM enterprise, any proxy addresses your network administrator may provide, and your Daptiv PPM Login information. (read more)
- Check for ProjectTransit Upgrades - ProjectTransit automatically checks to see if there is a newer version of the program available, and if a newer version is found, you are prompted to upgrade. (read more)
- Validate Microsoft Project Tasks - Some Microsoft Project task settings are not compatible with Daptiv PPM. If any such settings exist, they must be acknowledged and resolved before synchronization can occur.(read more)
- Select a Daptiv PPM Workspace for Synchronization - In order to synchronize between a Microsoft Project and a PPM workspace, ProjectTransit must know what PPM workspace to use. If you have already synchronized this Microsoft Project file with a PPM schedule, ProjectTransit will assume you want to synchronize with the same workspace and skip this step. (read more)
- Review Synchronization Settings - Once you have selected a PPM workspace, you to review the Daptiv PPM settings and last successful synchronization date. Additionally, you can manually break the synchronization between the Microsoft Project file and the PPM workspace here. Important: Ending the synchronization will sever the connection between your Microsoft Project file and Daptiv PPM, resulting in a recalculation of schedule data by Daptiv PPM and duplication of tasks in the event of a subsequent re-synchronization with the same Microsoft Project file and PPM Project. Synchronizing Resources
ProjectTransit allows you to map Microsoft Project resources and PPM resources (team members) to ensure task assignment data is accurate. You must map all PPM resources with task assignments. You can map existing resources, add new PPM users to map with pre-existing Microsoft Project resources, or add new PPM resources and map them to new Microsoft Project resources. Note: Your ability to add new PPM users depends on your PPM permissions. Not all PPM users have adequate permissions to add new users. (read more)
Synchronizing Custom Fields
ProjectTransit allows you to map Microsoft Project native and custom fields to PPM custom fields. There are certain default field mappings of Microsoft Project and PPM fields. You cannot change these field mappings, but you can map and edit other fields so that the field data is synchronized by ProjectTransit. (read more)
Synchronizing Tasks
Once a Microsoft Project file is synchronized with PPM , all tasks in the two systems are connected and remain connected. While the two schedules are synchronized, the PPM schedule will be checked out by ProjectTransit and cannot be edited from Daptiv PPM. All task and resource assignment changes must be made from Microsoft Project. You should synchronize after making changes to your Microsoft Project file in order to update the PPM schedule. After every synchronization, a summary page shows you the changes made. If you need to break the synchronization at any point, you can do this from the Review Settings screen of the synchronization wizard. However, this step is not recommended unless you intend to permanently break the synchronization. (read more)
